Keep maintenance visits and quoted projects distinct
A fortnightly garden visit starts with an existing agreement. A clearance, fence repair or landscaping enquiry may still need a survey and a quote. Both can belong to the same customer, but they should not share an unclear status or silently replace the next maintenance visit.
Knockround is job and round management software for UK tradespeople. Gardeners and small landscaping businesses can explore its existing repeat-round and quoted-job workflows, then discuss whether they fit their own maintenance book. There is not yet a dedicated gardening demo: the round example uses window cleaning, and the jobs examples use other trades.
Start with the agreement for each garden
A useful maintenance record explains what happens next as well as where the property is. Keep the visit interval, usual scope and any agreed seasonal change clear. Treat an extra job as a separate decision until the customer accepts it.
| Work | Record to keep | Question to settle |
|---|---|---|
| Regular maintenance | Agreed tasks, interval, time allowance, price and access arrangements. | When is the next agreed visit, and has its scope changed? |
| Seasonal change | Customer agreement on a revised interval or a pause and restart. | What should happen after the changed visit or pause? |
| One-off clearance | Scope, access, estimated duration and arrangements included in the quote. | Is it still an enquiry, or has the work been accepted and booked? |
| Landscaping project | Survey information, proposed scope, outstanding choices and next contact. | Does the job need specialist estimating or project tools beyond a visit planner? |
Give an extra job its own space in the week
Fictional planning example: a gardener has six maintenance visits, each estimated at 45 minutes, and an enquiry for a three-hour clearance. The regular work adds up to four hours and 30 minutes. Adding the clearance makes seven hours and 30 minutes before travel, setup, breaks or delays.
That arithmetic does not say how quickly you should work. It shows why the extra job needs a realistic place in the diary. Check the estimate from your own experience, agree the scope and decide whether another day is needed. If a maintenance visit moves, record what the customer agreed about the following visit rather than assuming every future date should shift.
Use our guide to planning repeat visits for a weekly worksheet and examples of handling exceptions. Its method works with a diary or spreadsheet while you assess software.
Test the two workflows before joining
- Explore a repeat round. In the window-cleaning demo, check customer notes, due visits, the daily list and payment records. Consider which parts match your gardening routine.
- Explore quoted work. In the roofing jobs demo, follow an enquiry through the quote and booking stages. The sample work is roofing, not a landscaping estimate.
- Bring the differences to us. Explain seasonal intervals, varied visit lengths and the one-off jobs you fit around regular customers. Ask for your required behaviour to be confirmed during onboarding.
Both demos use fictional customers and prices and contact nobody. A familiar-looking screen does not establish support for every garden-maintenance requirement.
Check the fit for the size of your work
A solo gardener organising repeat visits has different needs from a landscaping firm running a long build. If you need garden design, measured take-offs, plant schedules, contract management, purchasing, project margins or crew allocation, check specialist tools and ask what Knockround can actually cover. The public demo does not establish those capabilities.
Pricing is £19.99 a month or £199 a year, after 30 days free with no card. Create and share invoices, then connect your own Stripe account and complete its setup to accept card payments. Customers can use Apple Pay or Google Pay when supported by their device and Stripe Checkout. VAT invoicing and Direct Debit are not available yet.
Before you move the maintenance book
Can you help move my existing customer list?
The team offers free help reviewing CSV or Excel imports. Agree which fields can move and how to handle existing balances before switching, then check the result against your original records.
Will customers be messaged automatically?
The demonstrated WhatsApp flow prepares text for you to review and send from your own number. Automatic sending is not included. For a project quote awaiting a reply, see our manual follow-up guide.
