Free variation order template

For the "while you're here" jobs: write down the change, its price and the new total, and get it signed before you start, so the final invoice matches what the customer agreed.

Download the variation form

One A4 page for one change to a job you've already quoted: what's changing, what it adds to or takes off the price, whether it moves the finish date, the new total, and the customer's signature. Free, no signup, yours to change.

  • Excel (.xlsx): type the lines and it works out the change to the price, with a VAT rate cell (0% unless you're VAT registered). Put a minus in front of anything you're taking off.
  • Word (.docx): type over the brackets, number each variation, save a copy with the job.
  • PDF to print: fill it in on site and get it signed before you start the extra.

Why put a change in writing

Most arguments about a final bill start with "while you're here". The customer asks for an extra socket, a different tile or one more fence panel, you say yes on the spot, and three weeks later the invoice is higher than the quote and nobody wrote down why. A one-page variation, signed before the extra work starts, turns that conversation into something you both agreed.

  • Before, not after. Agree the price of the change before you do it. A customer who signed for £240 extra rarely disputes £240 on the invoice.
  • One change, one form. Number them 1, 2, 3 on the job so the final invoice can list each one.
  • Savings count too. If the customer drops part of the job, a variation with a minus figure shows what came off.
  • Say what happens to the time. If the extra adds two days, write it down, so a late finish isn't held against you.

A made-up example

A kitchen fitter quoted £6,800 to fit a kitchen. Halfway through, the customer asks for two extra double sockets on the island and decides to keep the old extractor. The fitter isn't VAT registered.

Variation 1
DescriptionQtyPrice eachTotal
Double socket on the island, cable run under the floor2£95£190
New extractor not fitted, customer keeping the old one1−£120−£120
Change to the price£70

New total: £6,800 + £70 = £6,870. Time: no change to the finish date. Signed by the customer before the cable goes in.

Quotes, estimates and changes

A variation works best on top of a written fixed quote, because there's a clear price to change. If you gave an estimate instead, the customer expects the final bill could move, but a signed change still saves a conversation. The quote vs estimate guide explains the difference, and the quote maker writes the original quote. When the job's done, the invoice template takes the original price and each variation as separate lines.

Quotes on your phone instead

Knockround sends quotes the customer accepts with a tap, keeps a note on each customer and job, and sends the invoice with a Pay button for Apple Pay, Google Pay or card. It doesn't make variation forms, so keep this template for changes mid-job. Try it on the jobs board demo with made-up customers. It's free for 7 days with no card needed, then £19.99 a month.
