Fill it in, then print it or save a PDF
Add your details, who paid you, and a line for each thing they paid for. Pick the date and how they paid. If they've only paid part, like a deposit, put in the amount and the receipt shows what's still to pay.
It works for cash, bank transfer, card or cheque, for any trade. A checklist under the form tells you what's still missing.
The receipt form loads here when JavaScript is on. The list below shows what to put on a paper receipt.
Your receipt
What you type stays in this browser tab. It isn't sent or saved anywhere, so print it or save a PDF before you close the page.
To save a PDF, choose "Save as PDF" as the printer. On a phone, use Print in the share menu.
Download a blank receipt template
Rather keep a file, or a printed pad in the van? The same receipt to download, with room for a part payment and what's still to pay:
- Word (.docx): type over the brackets and save a copy for each payment.
- Excel (.xlsx): the total and what's still to pay add themselves up.
- PDF to print: one A4 page to fill in by hand.
They're free to use and change, with no signup.
What to put on a receipt
No law sets out what a receipt for a job must show, but a good one answers every question about the payment:
- Who was paid: your name or business name, and a phone number or email.
- Who paid: the customer's name, and their address if it helps find the job again.
- What for: a line for each part of the work, with the amounts.
- How much, when and how: the amount paid, the date and whether it was cash, bank transfer, card or cheque.
- What's left: if it was a deposit or part payment, how much is still to pay.
- A number: R-1001, R-1002 and so on, so you can match it to your records. If it pays an invoice, give the invoice number too.
A receipt or an invoice?
An invoice asks for payment. A receipt says you've been paid. If the customer pays on the spot, before you've sent an invoice, a receipt on its own is often all they need.
If you're VAT registered and your customer is a VAT-registered business that wants to reclaim the VAT, give them a VAT invoice instead: the free invoice template has a VAT option and checks it shows what GOV.UK says it must.
Cash jobs: keep your own copy
Cash is the payment most likely to go unrecorded. As a sole trader you must keep records of all your sales and income, with proof such as sales invoices and receipts, and keep them for at least 5 years after the 31 January Self Assessment deadline for that tax year. Save the PDF of every receipt you give, or keep a carbon copy.

Receipts for deposits
When a customer pays a deposit, give a receipt for it there and then. Put the full price of the job in the lines and the deposit in "Amount paid": the receipt then shows the deposit received and the balance still to pay. The deposit guide covers what to agree before you take one.
Paid records in Knockround
In Knockround, every invoice has a Pay button. Send it by WhatsApp, text or email, or show the QR code on your phone, and your customer pays by Apple Pay, Google Pay or card. The invoice marks itself paid and the money goes to your own Stripe account, so you can see who has paid and who hasn't without writing anything down. Knockround doesn't do VAT invoices yet.
See it on the plumbing demo, with made-up customers. It's free for 7 days with no card needed, then £19.99 a month.
Written by the Knockround team. Record-keeping rules checked on GOV.UK on 29 October 2026. Each line is rounded to the penny before the lines are added up.
