Download the timesheet
One A4 page for one week on a site: the days, your start and finish times, the hours or days, your rate, and a line for the contractor to approve it. Free, no signup, yours to change.
- Excel (.xlsx): type the hours or days and your rate and it works out each day and the week's total, with a VAT rate cell (0% unless you're VAT registered).
- Word (.docx): put your name and rate in once, then save a copy each week.
- PDF to print: fill it in on site and get it signed on Friday.
Why subbies keep a timesheet
On day-rate or hourly work, the timesheet is the bill's evidence. A contractor running three sites won't remember whether you did four and a half days or five. If the hours are written down each day and signed at the end of the week, the invoice that follows is a copy of something they've already agreed, and it gets paid without a query.
- Fill it in each day. Start, finish and any unpaid break, while you still know them.
- Note the extras. If the site manager asks for something outside the job, write down what and who asked.
- Get it signed weekly. One signature on Friday beats a disagreement at the end of the month.
A made-up week
A self-employed joiner on a £180 day rate, not VAT registered, finishing early on Friday:
| Day | Days | Rate | Total |
|---|---|---|---|
| Monday, 07:30 to 16:00 | 1 | £180 | £180 |
| Tuesday, 07:30 to 16:00 | 1 | £180 | £180 |
| Wednesday, 07:30 to 16:00 | 1 | £180 | £180 |
| Thursday, 07:30 to 16:00 | 1 | £180 | £180 |
| Friday, 07:30 to 12:00 | 0.5 | £180 | £90 |
| Week | 4.5 | £810 |
Not sure what your day rate should be? The day rate calculator works it back from what you want to take home.
From timesheet to invoice
The signed timesheet goes with your invoice. If the contractor pays you under the Construction Industry Scheme, use the CIS invoice template: the 20% or 30% deduction comes off the labour only, and the CIS calculator shows what you'll actually be paid. For a private customer, the ordinary invoice template does it.
Your own customers, on your phone
Between contracts, Knockround keeps the work you do for your own customers: quotes they accept with a tap, the day's jobs in order, and invoices with a Pay button for Apple Pay, Google Pay or card. It doesn't do timesheets or CIS, so keep this template for contractor work. Try it on the plumbing demo with made-up customers. It's free for 7 days with no card needed, then £19.99 a month.
