Download the purchase order
One A4 page for ordering materials or hire from a supplier: what you need, how many, the agreed price, when and where it's needed, and the job it's for. Free, no signup, yours to change.
- Excel (.xlsx): type the lines and it adds up the order, with a cell for the supplier's VAT rate.
- Word (.docx): number each order and save a copy with the job.
- PDF to print: fill it in by hand.
Why a sole trader bothers with one
A phone order to the merchant is quick, until the wrong boards turn up, the price on the invoice isn't the one you were quoted, or you can't tell which job a delivery was for. A numbered order, sent by email or WhatsApp, puts the items, price and date in writing before anything moves.
- Number every order. Ask the supplier to quote it on the delivery note and invoice, so each one matches up.
- Write the job on it. When the materials invoice comes in, you know which customer's job it belongs to and what to charge on.
- Put the agreed price. If the invoice is higher, the order shows what was agreed.
- Check the delivery against it before the driver leaves.
A made-up example
A fencer ordering for one job; the prices are invented:
| Description | Qty | Price each | Total |
|---|---|---|---|
| 6ft x 6ft lap panels | 8 | £32.00 | £256.00 |
| Concrete posts, 8ft | 9 | £24.00 | £216.00 |
| Postcrete, 20kg | 18 | £6.50 | £117.00 |
| Order total before VAT | £589.00 |
When the work's done, those materials go on the customer's invoice; the markup calculator works out what to charge on them.
The customer's side, on your phone
Knockround keeps the jobs, quotes and invoices for your customers, and each invoice goes with a Pay button for Apple Pay, Google Pay or card. It doesn't place supplier orders, so keep this template for those. Try it on the jobs board demo with made-up customers. It's free for 7 days with no card needed, then £19.99 a month.
